Can another organization see my documents?
Workspace access follows organization membership and roles. Grant writers can keep each client's profile, documents, and research in a separate workspace. Owners and administrators manage invitations; review the workspace and its members before uploading.
Does uploading a file automatically send it to AI?
Storage-only uploads do not trigger AI analysis. An owner or administrator enables AI for the workspace, and document analysis and research inclusion are separate choices. Authorized analysis can send extracted text to OpenAI for searchable representations, summaries, and suggested facts. Upload only information you are authorized to provide.
Which information goes into public web research?
Review the public name, website, location, cause areas, applicant type, and explicitly public focus shown before launching introductory research. That focused search does not use private goals, uploaded documents, or their summaries.
For a full strategy report, review the displayed public research information and the permitted private context separately. Keep confidential details, restricted links, and access tokens out of fields marked for public research.
Does private synthesis mean no provider sees the data?
No. Selected private briefs, document summaries, and permitted organization facts are processed separately by OpenAI with web tools disabled. Private means excluded from public web research, not excluded from the disclosed provider's processing.
Are processing, training, and deletion the same thing?
No. GrantFlex does not use customer documents or reports for model training or evaluation datasets by default; that reuse requires separate permission. AI features still involve provider processing and retention under the published terms.
Background research requires temporary provider storage. GrantFlex does not promise Zero Data Retention. Application deletion and provider records or backups have different lifecycles; deleting a workspace does not establish immediate erasure everywhere.
What does optional analytics collect?
Analytics stays disabled until you allow it, and browser Do Not Track or Global Privacy Control keeps it off. With permission, GrantFlex measures public pages and selected product milestones using a random browser identifier and broad source categories.
Documents, drafts, private workspace URLs, and raw referrer URLs are excluded. You can change the choice in the footer's Analytics preferences when analytics is offered.
How can I ask about access or deletion?
Contact contact@grantflex.com for access, correction, export, deletion, or suspected access issues. The operator verifies identity and authority before releasing or changing information.
