Research stopped
When a report doesn't finish, its page says Your funding research didn’t finish and explains what happened. Your research setup is kept, and so is any saved draft.
| Message | What it means | What to do |
|---|---|---|
| The web research is saved | The web research finished, but its evidence needs another look before the final report is written. | Select Continue to final synthesis. When sources still need checking, the button reads Repair saved web research or Verify saved sources. |
| The final report is saved | The report was written, but it didn't pass its evidence checks yet. | Select Recheck saved final report, or Repair saved report when gaps remain. No research repeats. |
| Your draft is saved and needs review | GrantFlex tried to repair it, and some details still couldn't be verified. They're listed under Still needs attention. | Read the saved draft below the message, then select New research to start again. |
| Research is waiting for provider funding | GrantFlex's research provider ran out of credit before the run finished. Your saved work is kept, and nothing restarts on its own. | Select Continue web research or Continue final synthesis once it's back. It doesn't count as a new start. |
| Research stopped before the report was ready | The run couldn't continue. | Select New research to start again. Your research setup is still saved. |
Only the person who started a report can continue it, within 7 days, and they need editing access. Otherwise the message says so, such as The seven-day recovery window has ended. Start a new research run.
Research won't start
| Message | What to do |
|---|---|
| This organization has reached its 24-hour deep-research limit. Try again later. | A workspace can start 3 reports in any 24 hours. Try again once the oldest is a day old. |
| You have reached your 24-hour deep-research limit across workspaces. Try again later. | One person can start 5 reports in any 24 hours, across all their workspaces. |
| Deep research is at capacity right now. Try again shortly. | Many reports are running at once. Try again in a few minutes. |
| An active subscription is required to start a research report. | Full reports come with Solo and Team. On Free, the owner can choose Subscribe and start report. |
| Workspace AI permission is needed before a report can start. | An owner or admin turns on workspace AI in Settings, under AI processing. |
| Your setup is complete, but the 24-hour research limit was reached before your report could start. Try again later. | Setup is saved. Start the report from Discover after the limit resets. |
A workspace runs one report at a time. If one is already running, starting another opens the one in progress. See Limits.
AI work is paused
New AI work stops for one of four reasons. Reading, manual editing and exports keep working in every case.
You've used every AI action
The Usage card in Billing and usage says You’ve used every AI action. Reading, manual editing, and exports still work. Starting AI work then shows Your AI action allowance is used up. Upgrade or wait for your paid plan to renew. Saved work, editing, and exports remain available.
Paid allowances reset each billing month, on the date the Usage card shows. Free actions don't renew. The owner can upgrade for more.
Workspace AI is off
AI buttons are hidden or say that AI is off, and an AI request says An owner or admin must enable workspace AI in Settings before analysis or research. An owner or admin selects Turn on workspace AI in Settings, under AI processing.
More members than the plan
Billing and usage says, for example, 3 members on a plan that includes 2, and AI work shows This workspace has more members than its plan allows. Reduce membership or upgrade before starting AI work. Remove a member under Manage members, or the owner upgrades.
When every seat is taken, inviting someone says why, such as Your plan includes 2 members, and both seats are in use. To invite someone, remove a member or upgrade to Team for up to 5 members. The workspace owner can upgrade in Settings → Billing and usage. A pending invitation holds a seat until it's accepted, revoked or expired.
A payment issue
- A payment issue has paused new AI work: AI work and research stop until billing is sorted out. AI requests say Resolve the payment issue in billing settings before starting more AI work.
- Your last payment didn’t go through: the plan keeps working until the date shown. Update the payment method to keep it after that.
- Your subscription is waiting for payment: until it's paid, the workspace has the Free plan's limits.
In each case the owner selects Update payment method in Billing and usage. Other members see a note to ask the owner. Email contact@grantflex.com if it doesn't clear.
Invitations
- Use the invited email address: you're signed in with a different address. Select Verify email address to add the invited address to your account, or Use another account to sign in with the right one.
- This invitation has expired: invitations last 14 days. Ask the person who invited you to send another.
- This invitation is unavailable: the link was cancelled or replaced. Ask for a new one.
- Your workspace access was removed: ask a workspace owner to invite you again.
- No email arrived: the person who invited you can check Invitations in Members & access. Email bounced means the address needs checking, and Resend sends a new link.
Documents and imports
| Message | What it means | What to do |
|---|---|---|
| Processing needs another attempt | Processing couldn't finish. Your original file is still saved, and the message under the title says why. | Open the document and select Retry processing. |
| Document needs review | The file was stored without being read, or its AI permissions changed. | Check its AI permissions, then process it again. |
| We couldn’t read text in this scan. Try again, or upload a clearer image or a PDF with selectable text. | AI couldn't read the scan. | Upload a clearer image, or a PDF with selectable text. |
| This scan needs AI text recognition, which isn’t available right now. Try again later, or upload a copy with selectable text. | Reading a scan needs AI, which isn't available. | Try later, or upload a copy with selectable text. |
| This document has too much extracted text. Split it into smaller files and upload them again. | The file holds more text than one document can. | Split it into smaller files and upload those. |
The upload list says Processing failed — open the document to retry for a file that didn't process. A file that can't be uploaded at all says why, such as Over the 50 MB limit (60.0 MB) or an unsupported type.
For an import, a file over the limit shows Import files under 1 MB. Save just your grant list as .csv or .xlsx. See Import a spreadsheet for the row checks.
A report won't refresh
| Message | What it means | What to do |
|---|---|---|
| You can refresh again in 5 hours. | A report can be refreshed once in any 24 hours, and the monthly refresh counts too. | Wait until the time shown. |
| Refreshing a report is included with Solo and Team. | Refreshes need a paid plan. | The owner can choose a plan in Settings, under Billing and usage. |
| An owner or admin must turn on workspace AI in Settings before this report can refresh. | Workspace AI is off. | An owner or admin turns it on. |
| No opportunity in this report links to a funder page we can re-check. | No opportunity has a public page to read again. | Start a new report when your needs change. |
| The last refresh didn’t finish | The report is unchanged. | Try again |
Proposals
- You can't approve a section: it's over its limit, and its count says by how much, such as 120 over. Shorten it, or change the limit if the funder's is different.
- Sections won't change after you record a submission: they lock as sent. If the funder allows changes, select Reopen for edits on the Package tab.
- A section says This section changed elsewhere. Your text is still here; copy it before reloading. Someone saved it at the same time. Copy your text, reload the page and paste it back in.
Email and calendar
- No email arrived: check your choices in Settings, under Notifications. Reminders go to each date's owner, and summaries are skipped when there's nothing to report. If the page says Email isn't available right now, everything still appears under Notifications.
- Ask the funder says Message copied when you open your email: the message is too long for a mail link. Paste it into the new email.
- Your calendar app isn't up to date: calendar apps check for changes on their own schedule, from every few minutes to once a day.
